Covenant Retirement Communities Expects $100,000 in Annual Savings With UltiPro

WESTON, Fla., May 19 /PRNewswire-FirstCall/ -- Ultimate Software , a leading provider of Web-based payroll and workforce management solutions, announced today that its customer Covenant Retirement Communities expects to save $100,000 a year by consolidating employee data using UltiPro Workforce Management.

Covenant Retirement Communities is a leading not-for-profit retirement housing provider with approximately 2,800 employees and 5,000 residents at 14 communities. Prior to UltiPro, the company found out that its previous provider was no longer going to support the product Covenant had been using. Covenant reviewed both in-house and service bureau providers before selecting Ultimate Software for its functional capabilities. Covenant ran its first live payroll in January 2004. Choosing to roll out the solution in phases, Covenant currently is managing its HR, payroll, and benefits processes with UltiPro at 13 of its 14 locations and plans to complete its implementation by July. Previously, the company's different communities managed their own payrolls using 14 separate databases. With UltiPro, Covenant unified its employee-related information into a single system, centralized its payroll and workforce management operations, improved its reporting capabilities, and reduced costs.

"UltiPro helped us consolidate our employee data, saving us approximately $100,000 annually," said Sneha Patel, Covenant Retirement Communities' CIO. "Now it takes less time to manage these processes. We have been able to free up significant time in data entry because UltiPro easily integrates with our general ledger, automating the transfer of information."

As Covenant brings each location live on UltiPro, the retirement housing provider is introducing self-service functionality to employees and managers. According to Patel, the reaction has been very positive. In fact, the company is working toward empowering managers with many of their HR teams' responsibilities. By September, the company will give all of its managers the opportunity to initiate salary adjustments and process new hires, rehires, and more. Using workflow, this information will be directed to the appropriate reviewer in HR or payroll for approval before taking effect in the system.

"We anticipate more hard and soft cost-savings from UltiPro by the fall when we are fully maximizing UltiPro's self-service functionality for employees and managers," said Patel. "At that time, we are going to ask our offices to report savings in paper, printing, or time so we can document the full business value of UltiPro."

Covenant also is using UltiPro's more than 400 standard reports to locate and monitor employee information for business intelligence reporting, governmental compliance, and to answer day-to-day questions. Prior to UltiPro, each pay period, Covenant's previous provider sent a hard-copy binder of reports that, according to Patel, was so unwieldy that it was not used with any frequency. UltiPro's reporting functionality is now helping the company see the significance of its workforce data as a whole.
